EPL Board of Trustees TopNav: May 29th, 2024 Minutes

Minutes from May 29, 2024 Meeting

Meeting of the Board of Trustees
Eastchester Public Library
May 29, 2024

Present:  Library Director Tracy Wright, Robert Cartolano (President), Rosetta McArdle, Patrick Pilla, Jim Martin, Leslye Davidson, Astra Tudisco, and Darlene Reda.  Town Councilman Anthony Giacobbe, also attended the meeting.

The meeting was called to order at 6:34 p.m.  The minutes from the April 24, 2024 meeting were presented, reviewed and unanimously approved subject to adding the correct spelling for attendees Stella and Bob Bowman.

President's Report

President Cartolano attended a WLS meeting last night; four legislator breakfast series meetings are scheduled. To get an accurate picture of who uses libraries, Rob looked up data regarding the number of households that have library cards. PLDA meets with WLS to discuss sign-up enhancement and noted two ways of doing this: (1) make process as easy as possible for people to renew/reactivate; and (2) provide for automatic account creation. Is there a way for parents to manage their children’s cards? Accurate data is helpful for grants, planning, etc.

Director’s Report

Everything revolves around what is going on in the building. The front door entrance is now open, and EPL is awaiting a permanent railing. Director Wright called Nature’s Cradle to get a bid for landscaping; she is also waiting to hear back from Judith Blau’s grandson. Grass must be reseeded, also.

Nothing is happening with the bathrooms—waiting for construction to be finished. There is an issue with the handicapped bathroom downstairs. Director Wright thinks that tile is not needed (cost estimate is $17,000). Lothrup offered two options: (1) toilet/sink, and (2) tile halfway up ($8K). Bathroom must be code compliant. Director Wright said Lothrup did not submit a change order to make bathroom into a closet. Trustee Martin suggested, going forward, to invite someone from the Town Building Department to all Building Committee meetings. Director Wright noted that Lothrup is the liaison and could have sent a one-pager to the Building Department. Councilman Giacobbe stated that the bathroom is fine now; the issue was converting the space from a bathroom to a closet. He suggested alerting the Town Building Department as to their intent regarding the current condition with no tiles. Director Wright is waiting to see if the Building Department has reviewed the plans for the two handicapped bathrooms. She hopes all bathrooms will be done by Labor Day

The Friends meeting is scheduled for June 12. The Friends made $9000 on the recent book sale. Director Wright is putting together projects for them. The second annual BBQ will be held on June 14. More money ($10 million) is available from the NYS Construction Grant.  There is leftover money from the SAM grant (over $40K).  Four new chairs have arrived. Summer reading program is underwritten by the Friends; on July 13, Jazz Band will perform at 1pm.

New Business

Trustee Davidson informed the Board that one participant from the Matthew DeMarco History Bee came in second place in Nationals! WLS Battle of the Books is scheduled for October 26. Trustee Pilla stated there was a complaint regarding material in the Children’s section.  President  Cartolano noted that the Collection Development Policy is on the EPL website; anyone is welcome to fill it out and submit. Appeals of any decision go before the Board. Discussion ensued regarding policy on content of books in EPL collection.

Councilman Giacobbe stated that $7K was received from an old grant. He also indicated that the 5K Committee will be hosting this year’s race on September 29 and have requested to use the downstairs room for registration.
