The meeting was called to order by Rob Cartolano at 6:37 PM
Attendance: Tracy Wright (Director), Robert Cartolano (President), Leslye Davidson, Rosetta McArdle, Jim Martin, Patrick Pilla and Astra Tudisco
Tracy reported that due to the amount of the accepted bid for the elevator replacement, there will need to be an increase in the amount taken from the library's fund balance to cover the total cost of the Project. The increase is due to the fact that the bid for the elevator replacement was much higher than expected.
Lothrop proposed $16,000 for preparation of the drawings and supervising the bathroom project. This is for two ADA compliant bathrooms which will be located as follows: one on the first floor and one on the second floor of the Library. This project includes a water filtration station. Jim Martin made a motion to approve the Lothrop proposal. Rosetta seconded the motion. The board unanimously approved the motion.
Rob made a motion to approve the use of the fund balance. $489,239 for the elevator project; $100,530 for the Bathroom project for a total of $589,769. The balance of the fund balance is $284,214. The motion was seconded by Leslye. The board unanimously approved the motion.
The Elevator replacement project is out for bids. Suburban Contractors will be subcontracting the elevator replacement. They received two estimates: one from TK for $265,000; and one from Otis for $200,000. Lothrop Associates is checking with their elevator consultant to ensure that both estimates meet the guidelines outlined in the bid document.
We are waiting for the final Library budget from Dawn. Nothing has been finalized.
Tracy and Rob met with the finance committee from the Friends. The Friends are funding the cost of Spring Share which is the platform for the new EPL website. Spring Share includes a program for events. The Event Keeper program sends links form programs right when a patron signs up for the event. This is a time saver for the staff.
Leslye suggested that Tracy ask the Friends if they will agree to match funds for Giving Tuesday.
We discussed upgrades to the Children’s Room and a new amplifier for the Raskoff Room.
The contractor is working on the water remediation project. Due to the noise and demolition the library will be closed on certain days from 9-1 and 10-1. The noise was extremely loud. They dug further away from the wall to install the remediation and waterproofing.
